Refund Policy
Refund, Cancellation & Travel Insurance Policy
Mir on the Move | Independent Travel Advisor
Effective Date: October 19, 2026
1. General Policy
At Mir on the Move, my goal is to provide clients with exceptional travel planning services while ensuring transparency, informed decision-making, and peace of mind throughout the booking process.
All reservations, travel experiences, accommodations, transportation, excursions, and other travel-related services are subject to the applicable terms, conditions, cancellation policies, and refund procedures of the respective travel supplier, operator, or service provider.
As an independent travel advisor affiliated with InteleTravel, I act as an intermediary in facilitating travel arrangements. Unless expressly stated otherwise in writing, I am not the direct provider of the travel services booked on a client’s behalf, nor do I independently control a supplier’s cancellation, refund, reimbursement, or compensation decisions.
2. Refundable and Nonrefundable Bookings
Mir on the Move will make reasonable efforts to prioritize refundable or flexible booking options whenever available and appropriate for the client’s itinerary, preferences, and budget.
However, refundable options may not always be available or may carry higher costs or additional restrictions. Accordingly, no reservation is guaranteed to be refundable unless the applicable supplier’s written terms expressly provide for a refund under the relevant circumstances.
If a booking is nonrefundable, partially refundable, or subject to specific cancellation penalties, I will communicate those material restrictions to the client before the booking is finalized, to the extent the terms are available at that time. The applicable restrictions will also be documented in writing, such as through email, booking documentation, or written client acknowledgment.
By authorizing a reservation, the client acknowledges responsibility for reviewing and complying with the applicable booking terms, including cancellation deadlines, refund limitations, change fees, deposits, and other financial obligations.
3. Cancellations, Disruptions, and Supplier Refunds
If a trip, reservation, excursion, accommodation, transportation service, or other booked experience is canceled, interrupted, materially altered, or otherwise not delivered as anticipated, Mir on the Move will make reasonable efforts to assist the client in communicating with the responsible supplier and pursuing any refund, credit, reimbursement, rescheduling, or alternative arrangement that may be available.
All refunds and reimbursements remain subject to the applicable supplier’s terms and the circumstances of the cancellation. I cannot guarantee that a supplier will approve or issue a refund, provide compensation, or offer an alternative experience.
Except where required by applicable law or expressly agreed to in writing, Mir on the Move is not responsible for personally funding, advancing, or paying out of pocket any refund, reimbursement, compensation, or other amount owed by a third-party supplier. I am not the insurer or guarantor of a supplier’s financial obligations.
Nevertheless, client satisfaction remains a priority. I will use reasonable efforts to advocate on the client’s behalf, communicate with relevant providers, pursue available remedies, and seek a fair resolution whenever possible. Such assistance does not guarantee a particular outcome or reimbursement amount.
Any applicable advisor service fees, planning fees, deposits, or other charges separately imposed by Mir on the Move will be governed by the terms disclosed and agreed to at the time of service.
4. Travel Insurance
Mir on the Move strongly recommends that every client obtain appropriate travel insurance before departure. Travel insurance may help protect against certain covered losses arising from unexpected events, including qualifying trip cancellations, interruptions, medical emergencies, travel delays, or lost baggage, depending on the policy purchased.
I will advocate for travel insurance and encourage clients to review available coverage options carefully before making a final decision. Clients are responsible for researching, selecting, purchasing, and maintaining any travel insurance policy they wish to obtain, including verifying its coverage limits, exclusions, eligibility requirements, claim procedures, and applicable deadlines.
Unless expressly agreed to in writing, Mir on the Move does not provide insurance coverage, act as the client’s insurer, or assume responsibility for purchasing insurance on the client’s behalf.
Travel insurance is the client’s financial responsibility. If a client declines, fails to purchase, or allows appropriate coverage to lapse, the client assumes the risk of expenses or losses that might otherwise have been covered by an insurance policy. To the extent permitted by applicable law, Mir on the Move is not responsible for personally reimbursing the client for uninsured losses, nonrefundable travel expenses, medical costs, cancellation penalties, or other expenses arising from the absence of coverage. Mir on the Move is also not responsible for paying the client’s insurance premiums or purchasing replacement coverage after a loss occurs.
Insurance claims, coverage determinations, and claim payments are handled by the applicable insurance provider and are subject to the policy’s terms and conditions. Neither a recommendation to purchase insurance nor assistance with a claim constitutes a guarantee of coverage or payment.
Clients are encouraged to obtain coverage promptly after making their initial trip deposit, where appropriate, because certain benefits or eligibility requirements may depend on when a policy is purchased.
5. Client Responsibilities and Acknowledgment
Clients are responsible for:
-
Reviewing booking confirmations, supplier terms, cancellation policies, and refund restrictions.
-
Providing accurate traveler information and promptly communicating any changes to their travel plans.
-
Meeting applicable payment deadlines, documentation requirements, and travel entry requirements.
-
Deciding whether to purchase travel insurance and reviewing the coverage selected.
-
Contacting the appropriate supplier or insurer when required to initiate a cancellation, refund request, or insurance claim, with assistance from Mir on the Move where reasonably available.
-
Written disclosures regarding nonrefundable reservations and other material restrictions will form part of the applicable booking record. Clients are encouraged to retain copies of all confirmations, receipts, policy documents, and written communications.
6. Force Majeure and Events Beyond Our Control
Travel may be affected by circumstances beyond the reasonable control of Mir on the Move, including severe weather, natural disasters, public health emergencies, government restrictions, civil unrest, labor disputes, transportation disruptions, and other extraordinary events.
The rights and remedies available to clients in such circumstances depend on applicable law, the relevant supplier’s policies, the terms of the booking, and any applicable insurance coverage. Mir on the Move will make reasonable efforts to assist clients in identifying available options but cannot guarantee refunds, compensation, or replacement arrangements.
Nothing in this section limits any rights or remedies that cannot lawfully be excluded under applicable law.
7. Limitation of Responsibility
To the extent permitted by applicable law, Mir on the Move shall not be responsible for the independent acts, omissions, negligence, insolvency, service failures, cancellations, or policy decisions of third-party travel suppliers, including airlines, hotels, resorts, tour operators, cruise lines, transportation providers, activity operators, and insurers, except to the extent responsibility is imposed by applicable law or otherwise expressly assumed in writing.
Nothing in this policy is intended to waive any nonwaivable consumer rights, eliminate duties that applicable law imposes on Mir on the Move, or excuse any liability that cannot legally be disclaimed.
8. Contact and Assistance
If you need assistance with a cancellation, refund inquiry, travel disruption, or insurance-related question, please contact Mir on the Move as soon as reasonably possible. Prompt communication may help preserve available options and meet applicable deadlines.
I am committed to treating every client with professionalism, transparency, and care and will make reasonable efforts to advocate for the best available resolution.
Thank you for choosing Mir on the Move. Your trust and travel experience matter, and I will do my best to support you throughout your journey.
This policy should be read together with the applicable booking confirmation, supplier terms and conditions, advisor service agreement, and any other written disclosures provided to the client. Where a conflict arises, applicable law and the controlling contractual terms will govern to the extent required.
